What you job will be like:

Are you looking for an opportunity to work with scientists, administrators, engineers, technicians and students from all over the world on a day-to-day basis. This position is responsible for supervision and training of administrative staff, in a wide range of activities including planning and the servicing of meetings and events, travel procedures and processing, developing requisite reporting information, and supporting in particular the Theory Group, the Jefferson Lab Program Advisory Committee and the Physics Electron-Ion Collider Group. The Division Staff Administrator must communicate effectively with Administrative Support, various supporting departments and both internal and external stakeholders to ensure flawless operations of the laboratory's primary mission.

In this role you will:

  • Supervise non-exempt staff
  • Serve as the primary trainer for Theory Division Administrative team. Backup trainer for Physics Division Administrative team
    • Provide training in laboratory travel procedures, event submissions, visa and immigration, visitor registration
    • Plan and coordinate with Senior Division Administrator all essential job functions for administrative team
    • Plan and coordinate with Senior Division Administrator non-routine matters
    • Coordinates projects/meetings with limited input from supervisor, to include Joint DOE/NIH annual workshop
    • Serve as Division Communication Liaison; coordinates with Communication the division’s availability and assistance in
    • Managing the daily schedules and calendars of division senior staff

      Qualifications we require:

      Education:

      • Bachelor's degree plus

      Experience:

      • 2 years of relevant experience or equivalent combination of education and experience.

      Knowledge, Skills, Abilities:

      • Proven experience as an executive assistant or other relevant administrative support experience.
      • In-depth understanding of entire MS Office suite.
      • Ability to organize a daily workload by priorities.
      • Must be able to meet deadlines in a fast-paced quickly changing environment.
      • A proactive approach to problem-solving with strong decision-making skills.
      • Professional level verbal and written communications skills.

      Qualifications we prefer:

      • Microsoft Office Certification
